Cyamate Worksite Check-In & Safety Verification

This Privacy Policy describes how Cyamate, Inc. ("Cyamate," "we," "us," or "our") handles personal information in connection with our worksite check-in and safety verification service (the "Service") and this website.
The Service is provided to construction general contractors and site operators, who use it to run check-in and safety orientation at their worksites. If you are a worker checking in at a jobsite, the worksite operator decides how the Service is used at that site. Questions about this policy can be sent to stephen@cyamate.com or +1 (839) 293-2058.
Summary of key points
What we collect. When you check in at a worksite, you provide your full name, your company, your phone number, and your language preference. If you complete a spoken safety assessment, your responses are transcribed and the transcript is kept as part of the worksite's safety record.
Your phone number. Your phone number is required to check in. It's how the Service recognizes you when you return. Providing it does not sign you up for text messages. Text messages are a separate, optional choice.
Your check-in profile stays at the worksite. Your check-in information is specific to each worksite. We do not combine your information across different worksites or build a profile of you from one site to the next.
No sale, no ads. We do not sell personal information and we do not use it for advertising.
1. Information we collect
Check-in information you provide: your full name, the company you work for, your phone number, and your language preference (English or Spanish). We also record the date and time of each check-in.
Safety assessment information: if the worksite requires a spoken safety assessment, your spoken responses are processed in real time to conduct the conversation. We keep a written transcript of the assessment and its outcome. We do not store the audio recording; audio is processed and retained by our voice technology provider, as described in Section 4.
Text messaging consent: if you are offered text notifications, we keep a record of your choice to opt in or out, including when you made it.
Website information: like most websites, our hosting infrastructure processes standard technical information (such as IP addresses in server logs) to operate and secure the site.
2. How we use your information
We use the information described above to:
- Check you in at the worksite and recognize you when you return (your phone number is how the Service recognizes you)
- Conduct the safety orientation and spoken assessment, and confirm you understood the material
- Issue your sticker number once you complete the assessment
- Maintain attendance and safety orientation records for the worksite operator
- Send you your sticker number by text message, if you opted in
Your spoken responses are evaluated with the assistance of automated tools to confirm your understanding of the safety orientation. If an answer shows a misunderstanding, it is corrected during the conversation, and if you do not complete the assessment successfully, you may take it again.
We do not use your personal information for marketing, advertising, or profiling, and we do not sell it.
3. Text messaging
Text messages are optional. Their purpose is to deliver your sticker number after you complete a safety assessment, about 1 message per assessment. Message and data rates may apply. You can opt out at any time by replying STOP, or reply HELP for help. Declining text messages does not affect your ability to check in; you can get your sticker number by scanning the worksite QR code again.
4. Who processes information on our behalf
We use a small number of service providers to operate the Service, acting on our behalf and under contract:
- Cloud hosting and data processing, which stores check-in records, transcripts, and consent records and supports the automated evaluation of assessments
- Conversational voice technology, which conducts the spoken assessment. Audio from the assessment is processed and retained by this provider; Cyamate stores the written transcript, not the recording
- Text message delivery, which sends the optional sticker-number texts
Voice recordings are not used to identify individuals. We do not perform voice recognition, voiceprinting, or any other biometric identification.
5. Sharing with the worksite operator
The Service exists to give the worksite operator a reliable record of who checked in and who completed safety orientation. Accordingly, your check-in records, attendance history, sticker number, and assessment transcripts are made available to the operator of the worksite where you checked in. We do not share your information with other worksites or other customers.
We do not share personal information with any other third party, except with the service providers described above, as required by law, or in connection with a business transfer (such as a merger or acquisition), in which case this policy would continue to apply to previously collected information.
All the above categories exclude text messaging originator opt-in data and consent; this information won't be shared with any third parties.
6. How long we keep your information
Check-in records, attendance history, assessment transcripts, and outcomes are retained as part of the worksite's safety records for as long as those records are maintained. Text messaging consent records are retained as required to demonstrate compliance. Audio from assessments is retained by our voice technology provider as described in Section 4 and is not stored by Cyamate.
7. Your choices and rights
You can stop receiving text messages at any time by replying STOP. To ask a question about your information or make a privacy request, contact us at stephen@cyamate.com or +1 (839) 293-2058. Because safety records are maintained for the worksite operator, some requests may require coordination with the operator of the worksite where you checked in. We will respond to verified requests within the time required by applicable law.
8. Security
Data is encrypted in transit, access to our systems is authenticated and restricted, and each customer's records are kept separate. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
9. Where your information is processed
The Service is operated from the United States. If you use the Service, your information will be processed in the United States.
10. Updates to this policy
We may update this policy from time to time. The updated version will be indicated by the "Last updated" date above.
